Online wedding RSVPs, from guest replies to your final headcount

Add a reply form to your wedding invitation and keep attendance, additional guests and meal notes in one private dashboard. Guests reply in their browser without creating an account. You choose the questions that help you plan, then review the responses as they arrive.

The sample shows the guest experience. Demo RSVPs are not saved.

Practical example

A useful RSVP form for a dinner reception

Illustrative question set. Enable the standard fields you need and use Premium or Luxury for your own dropdown or text questions.

Your full name · Will you attend? · Additional guests

Meal preference · Dietary restrictions

Custom dropdown: Do you need the venue shuttle? — Yes / No

Custom text: If yes, which pickup point will you use?

Ask for the information you will actually use

Core RSVP fields cover the guest’s name and attendance. You can enable additional guests, meal preferences, dietary restrictions, a song request and a note to the couple. Switch off optional questions that are irrelevant to your event. A short form is easier to understand, and fewer unnecessary answers make the final guest list easier to review.

Meal labels should match the options you have arranged with your caterer. A dietary note is useful context, but it is not a substitute for confirming an allergy or a safe meal directly. Likewise, an additional-guest field records the number submitted; communicate who is invited in your invitation wording and personal message.

Custom questions for transport, children or another practical detail

Premium and Luxury support custom text and dropdown questions. Use a dropdown when a small set of choices will help you count answers, such as whether a guest needs a shuttle. Use a text answer when you need a specific detail, such as the pickup location. Avoid collecting sensitive information that your wedding planning does not require.

Custom wording stays as you wrote it, including when a guest changes the invitation language. For a multilingual wedding, write a bilingual question or explain the options in your personal invitation text. Preview long labels on a phone and ask someone outside your planning team to check whether the choices make sense.

Turn individual replies into a headcount

Your manager separates attending, maybe, declined and pending guests. An invitation view is not an attendance confirmation: use the RSVP status and guest counts when planning food, seats and transport. Review additional guests with the named reply so that a household response does not become confused with a single person.

You can add and update guests yourself when someone responds by phone, paper or a chat message. Confirm any later change with the guest and update the manager. Premium and Luxury can export guest responses as CSV for the venue or your own planning sheet. Share only the columns the recipient needs, especially if the file includes dietary notes or private messages.

Set a deadline and follow up deliberately

Choose a reply deadline before your supplier’s final-number cutoff, allowing time to contact people who have not replied. SaidVows closes online replies at the end of the selected deadline date in UTC. Consider that timing if your guests live across time zones, and write a clear deadline in the invitation rather than relying only on a countdown.

Premium and Luxury let you send email reminders to pending guests with saved email addresses. They are sent when you choose the reminder action, not as an automatic scheduled campaign. A guest who only received a WhatsApp link may need a personal follow-up. After the deadline, reconcile pending replies and late changes before you send the final numbers to your caterer.

Questions before you start

Do guests have to register to RSVP?

No. Guests open the published invitation and submit the form in their browser. A Luxury invitation may ask them for the password you set.

Can I collect meal and dietary choices on Lite?

Yes. Core RSVP tracking includes the standard fields you enable. Custom text or dropdown questions, CSV export and email reminders require Premium or Luxury.

Can I test the RSVP form before sharing it?

Yes. Preview your own draft or open the public sample invitation. Preview and demo replies are not saved as real guest responses.
